NEW FEATURES
[NEW] TEMPLATE FLOW
The Template process Flow is automatically available for our new users when uploading a template. If you would like to enable or disable this feature for your account, follow the instructions below.
- Go to the Settings tab.
- Go to Sending/Signing.
- At Enable Document Step-by-Step Navigation, select Yes/No.
- Click Save.
Step 1 - Select/Upload and Prepare a Template
The first step in the Template Flow is to use an already existing template or upload a new template from the Home tab or Templates tab. Prepare your template by adding open roles (Patient, Client, etc), or add static recipients. Assign fields to your parties by dragging and dropping them on the template.
Step 2 - Click Send
When you are done preparing your template, click send to start the Template Flow process.
Step 3 - Overview
The Overview step for the Template Flow process allows the sender to add multiple files to the document – creating a folder. This will be sent to the specific recipients of this particular document.
Step 4 - Assign Recipient
In this step, the sender is assigning recipients for the roles and can select/change recipients authentication level.
- If you have multiple recipients and want them to sign in order, you have the option to enable the Enforce Signing Sequence feature.
- If the recipients sign documents electronically in person or do not have access to an email, we can Enable In-Person Signing.
Click Add Additional Parties to add recipients with CC/View Only Permission.
Step 5 - Review and send
Need to prefill some of the fields? Click Edit to use the Draft Mode.
When you have finished reviewing – click Send to send your document!
In the review step, you can select the generic email template (the notification email to your recipients) or you can select one of your own email templates from the drop-down list.
The Editor View allows the sender to customize the email template for one-time use. To preview the email template, select Normal View.
[NEW] PLACEHOLDER PERMISSION LEVEL WITH TEMPLATE FLOW
With the new Template Flow step-by-step guide, you can add a placeholder when sending a document from a template.
When to use a Placeholder and Party Assigner
This role is useful when the sender does not have the information of one of the parties. The sender can assign the unknown party as a Placeholder. When using a Placeholder, it is required to have a Party Assigner. The Party Assigner will know the details (First name, last name and email address) of the Placeholder and will add their details when the Party Assigner is opening the document invitation link.
For more information about how to use Party Assigner and Placeholder click here.
[NEW] USER-DEFINED ACCESS CODE
The new feature User-defined Access Code is used to provide additional security when sending documents to recipients. It is a new authentication level for recipients as they would have to enter an access code, provided by the sender directly, before being able to access the document. This feature is enabled for documents and templates only.
How to use User-Defined Access Code as a sender
- Prepare your document or template.
- In the sending process, choose User-Defined Access Code from the authentication level drop-down list.
Forgot the Access Code for a specific document?
- Go to the Documents tab.
- Click View Folder.
- The access code that was created can be seen under Recipient Parties.
How to use User-Defined Access Code as a recipient
- Click on the invitation email/SMS you received.
- Enter the access code provided by the sender to access the document.
- Fill out the fields and sign the document.
BUG FIXES
[UPDATE] MOBILE AUTHENTICATION LEVEL
If the Authentication Level was set to Mobile or Phone on a template and the party’s mobile number was not added – it was still allowing the document to be sent from the template. This issue has been resolved.
[UPDATE] SIGNER NAME CROSS POPULATE VALUE
The Signer Name field would cross populate the value in draft mode even if assigned to another recipient. This issue has been resolved.
[UPDATE] FIELDS NOT VISIBLE FOR SOME PARTIES WHEN CREATING FOLDER
When sending a folder containing one template with 1 party and adding another template with 2 parties, with a total of 3 parties for the folder – it would not show the assigned fields for the 2nd and 3rd party, only the Finish button.
[UPDATE] TAB ORDER
If the tab key was used in the signing process, it would not take the recipient to the correct field. This issue has now been resolved and is being displayed in the correct order – top to bottom left to right. It will either go through all fields or only mandatory fields – depending on the settings of the account.
[UPDATE] EXECUTED NON COMPLETED DOCUMENT USING IN-PERSON SIGNING
When using in-person signing, some recipients were able to execute the document without filling out the mandatory field in. This issue has now been resolved.
[UPDATE] PERSONALIZED FIELD DROPDOWN
The personalized field drop-down list is not saving the correct information for the drop-down options. If there are two words separated by a space, it would remove the second word. Special characters added in a word would remove the letters following. This issue has now been resolved.
[UPDATE] DUPLICATE CONFIRM SIGNATURE WINDOW
An issue where a duplicate pop-up ‘Confirm signature’-window would appear when signing. The recipient was unable to select the first checkbox in the additional pop up window. This issue has been resolved.
[UPDATE] SHARE WITH ALL ISSUE IN TEMPLATES TAB
In the template tab, the recipients can select to share with all, in a drop-down list for a specific template. After selecting an option in the list, it would not automatically save the preference. This issue has now been resolved.
[UPDATE] LANGUAGE
The language was updated where the translation was incorrect or additional language conversion was needed on the page changes. This was done with input from some of the application users.
